Present: Deborah Barrett, Keith Barrett, James Daniel, Susan Davidson, Donna Davis, Kily Garcia, Audrey Jackson, Charles Jackson, Jodie Jawor, Mitzie Lawhead, Terry Lawhead, Jodie Lee, Phillip Reynolds, Walt Struthers, Eric Weill
The meeting, held at the home of Mitzie and Terry Lawhead, was called to order by President Audrey Jackson. Members present introduced themselves, welcomed new member Walt Struthers and discussed personal running goals and upcoming races.
New webmaster James Daniel discussed the Pacer website members forum, currently maintained through a third party. James intends to make some changes to this arrangement after meeting with Elmer Beardshall and separating the Pine Belt Pacer website from Elmer's other group of websites. Other plans for the website include using Facebook and Twitter to promote the club and races.
Further discussion of marketing the club include plans for a Pacer shirt for members to wear at races and a logo for the trailer.
Grand Prix schedule
The group agreed to eliminate Trek the Trace, Pacer Relays, Run for Love and the Steam Whistle Run from the 2010 Gran Prix list. At present two races on the 2009 Gran Prix list have both scheduled races for the same date in 2010. If neither race changes, the race (Relay for Life in Petal) which has already reserved the clock first will be the Gran Prix Race. Audrey will discuss this with the two race directors. Phillip Reynolds, in attendance at the meeting, asked that his race on Feb. 20th, The Run for the Border, be added to the Gran Prix list. After hearing Phillip's description of the course, the charity it will support and his plans for the event, those in attendance agreed to add this new race. On motion by Kily Garcia, seconded by Terry Lawhead, the group also agreed that beginning in 2010, Race Directors for Gran Prix events are required to attend or send a representative to Pine Belt Pacer Business meetings.
Increased usage of the club's race clock and other equipment has caused logistical problems which were discussed at length at the meeting. Suggestions offered included a storage unit for the equipment, rental fees, using the clock for Gran Prix events only, loaning only the timer, etc. Audrey reported that Becky Ryder was having a contract for use of the clock drawn up. After considering many possibilities, the group agreed to talk about this at a later time when Becky could be part of the discussion.
Jodie Jawor and James Daniel offered to host the December meeting at their home on December 13th. Audrey reminded the group that officers will be elected for 2010 at this meeting, including a new President.
Hobble then Gobble
Plans for the Thanksgiving Day Hobble Then Gobble were discussed. Race Directors Audrey Jackson and Jodie Lee asked those present to help locate sponsorships for the race, which will benefit the ARC. The registration form will be available in the next couple of weeks. Long sleeve T-shirts will be provided to those registering by the specified deadline with a no T-shirt option included. The 5 mile race will award prizes in 10 year age groups. No fun run is planned for this event.
After discussing the need to identify race sponsors, the group agreed that the club's criteria for sponsorship levels needs to be reviewed as part of an upcoming business meeting or assigned to a committee.
Deborah Barrett reported that the Labor Day raced netted $3,800. After discussion, the group agreed on motion by Eric Weill, seconded by Kily Garcia, to donate $2,850 (75%) to MDA, with the remaining $950 divided between $500 for an equipment fund and the remainder to the general fund.
